Summary:
Under the general supervision of the Manager of Rehab Services, the Rehab Service Outpatient Coordinator plays a key role in facilitating meaningful patient interactions and delivering exceptional customer service.
Operating at the front desk of our dynamic therapy office, you will handle a diverse range of administrative tasks.
Above all, your contribution is essential in creating a positive first impression and enhancing the overall patient experience.
Essential Functions:
Warmly greet and build rapport with patients through in-person and phone interactions.
Answer incoming calls promptly and politely.
Return missed calls promptly.
Efficiently manage and schedule patient appointments with consideration to insurance restrictions and plan of care recommendations made by the therapist.
Verify patient insurance for outpatient therapy benefits.
Manage and convert incoming referrals.
Obtain pre-authorizations for patient appointments and maintain authorizations throughout the patient's plan of care.
Provide first visit expectations to all new patients.
Advise patients of their financial responsibility (i.
e.
, deductible, co-pay, or co-insurance responsibility per visit).
Scan patient insurance cards, ID cards, and all other pertinent paperwork to patient files.
Collect co-pay/deductible payments and provide a receipt with each transaction.
Prepare new evaluation paperwork for patient and therapist.
Maintain a tidy and welcoming appearance of waiting room, office space, and therapy gym; sanitize therapy office/gym per CDC guidelines.
Monitor and manage incoming and outgoing faxes, ensuring timely and accurate transmission of essential documents.
Ensure smooth operations in outpatient rehabilitation services with an emphasis on growing the outpatient rehabilitation volume.
Assist in the development and operationalizing of departmental QI/QA projects, both mandated and voluntary.
Developing processes which facilitate improved departmental productivity while maintaining high quality outpatient care services.
Participates in hospital committees and workgroups, as assigned.
Assists the Manager of Rehab in management of the budget for the outpatient services.
Identify rehab-related equipment and supply needs for outpatient rehab services and facilitating the purchasing of items in coordination with the Manager of Rehab and Materials Management.
Assist the Manager of Rehab to ensure appropriate billing for all disciplines throughout the department for outpatient services.
Assist with marketing outpatient rehabilitation services to physicians, regional healthcare facilities, community organizations, and other potential referral sources.
Participate in community outreach programs to increase hospital and rehab department referrals and maintaining community relations, as assigned Maintain professional standards in regard to attendance, collaborative support, attendance at scheduled meetings and confidentially.
Comply with annual employee health assessment.
Performs other duties as assigned.
REQUIRED EDUCATION:
High School diploma or GED required REQUIRED
Experience:
Previous customer service experience within the last two years required.
SKILLS:
Strong time-management and organizational skills.
Superior written and verbal communication skills.
High level of personal integrity, reliability, and honesty Ability to work effectively in teams and autonomously in a fast-paced environment.
Ability to understand spoken and written English words and sentences.
